Introduction
Ofilms respects your privacy and do our utmost to protect your private data. This policy explains what data we collect when you use a digital delegate venue.
What personal data we collect and why we collect it
Website Contact Form
When visitors complete and submit the contact us form on the digitaldelegate.online website we collect the name, email address and message provided by the visitor, and also the visitor’s IP address and browser user agent string to help spam detection.

The digitaldelegate.online site and its subdomains collect data on behalf of the relevant customer and data controller. The data collected on each subdomain is specific to the event and controller.
Personal data:
When you create an account we collect your name and email address as entered on the form. If you use Google or facebook to sign up we collect your name, email address and your profile picture if you authorise this.
While on the site the data you enter into comments, questions and polls is stored on the site and is accessible to the relevant event organiser.
This data is used to identify you to other attendees at the event (if you use the chat, ask a question and don’t choose to ask anonymously, or if video calling is turned on) and improve your experience by allowing you to ask questions and make comments.
Usage data:
As you move around the site we collect a small amount of usage data, namely how long is spent in each room. This data is available to the relevant event organiser but only in anonymised form.
This data is used to supply event organisers with anonymous statistics on how their event venue was used.
Technical data:
When you use the ‘Get help’ button we collect your name, information about the problem, a small piece of text that is sent by your browser to all websites and the public IP address you are using. The browser text contains the browsers’ description of itself and the OS that it is running on.
We use this information along with the chat entries to help diagnose the issue you are asking about. After the event we may anonymise the browser data and a summary of the issue and use it to improve our service.
Embedded content from other websites
Pages on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
Analytics
We use Google Analytics to see some information about visitors to our website such as where they are located geographically, what browser they are using, etc. We use the standard Google Analytics package in this way to help us understand the best way to help our customers and visitors. This data is collected separately to any usage data on digital delegate and is anonymous.
Who we share your data with
Ofilms websites:
We do not share data collected from cookies or Google Analytics with anyone outside of Ofilms.
digital delegate sites:
digital delegate sites are hosted on behalf of our customers. Data submitted on digitaldelegate.online venues is stored and processed on behalf the customers in order to provide a copy of the raw data by secure means to the customer responsible for that site.
Data collected from the Get Help button is not shared with anyone outside of Ofilms.
How long we retain your data
We don’t keep personal data for longer than is necessary. The length of time data collected from digital delegate sites is stored is agreed with the data controller on a site by site basis according to legal requirements.
What rights you have over your data
If you have submitted personal information on one of our sites you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
Where we send your data
Data submitted by visitor contact forms on our websites may be checked through an automated spam detection service.
Data submitted or collected on digital delegate sites or hosted on customer subdomains (such as a list of user accounts or chat history) is available to or may be sent by secure means to the relevant data controller.
